Define Promotions

This application allows you to create promotional codes that can be associated to one or more seasons. To define a Promotion, you must go to:
 Front Office → Sales → Define Promotions

The following screen with four sections will be displayed:
  1. Define Guest Promotions: in this section promotions are created.
  2. Search Guest Promotions: this section will allow you to search the list of promotions listed below.
  3. Define Promotional Conditions for End Users: in this section the conditions for each of the promotions in the defined languages are created, without the conditions the promotion will not be applied.
  4. Promotional Conditions: list of conditions in the different languages defined.

Define Guest Promotions



Field
Description
Promotion Name
Enter the name of the promotion, it must be brief and descriptive.
Promotion Code
Create the code corresponding to the promotion must not be longer than 8 characters.
Enable
Check this box to keep the promotion in force, if you uncheck it, the promotion will not be available.

% Discount over Rack Rate
Indicate the percentage discount you will apply to the rate.
Sales Source
Indicate the sales source to which the promotion will be associated.
Internal Description
Write a brief description of the promotion, this description is for internal information.
Order
Order sequence of the promotions when they are displayed in any application.
This sequence must be numerical.
It is suggested that it not be continuous in order to have the option to move promotions if necessary. Example: 3, 6, 9, 12, 15
Save Botton
Clicking this button will save the changes made.
Delete Botton
Clicking this button will delete the selected promotion.
Ignore Botton
Clicking this button will ignore the changes made and close the form leaving the information unchanged.

Search Guest Promotions



Field
Description
Promotion Name
Enter the name of the promotion you wish to search for.
Status
  1. Enable: It will search for the promotion only in enable status.
  2. Inactive: It will search for the promotion only in the inactive status.
  3. All: Will search for the promotion in all status (enable and inactive).  
Search Botton
Clicking this button will perform the search.


The result of the search will be displayed in the Defined Guest Promotions section.




Define Promotional Conditions for End Users



Field
Description
Promotion
It will show the name of the selected promotion to which the conditions will be defined.
Language
You must select from the drop-down list the language in which the terms and conditions for this promotion will be written.
Save Botton
Clicking this button will save the changes made.
Delete Botton
Clicking this button will delete the selected promotion.
Ignore Botton
Clicking this button will ignore the changes made and close the form leaving the information unchanged.
Important: All promotions must have associated conditions in at least one language, otherwise the promotion will not be applied.

All the conditions of the promotions created will be displayed in the Promotional Conditions section.


Associate Promotions to Seasons


After you have created the promotions and their conditions, you must associate them with the season or seasons in which the promotion will be used, to do this you must enter:  Front Office → Sales → Define Seasons and Rates by Agency.
Select the season in which the promotion will apply, a screen like the following will be displayed:



In the Assign Promotions to the Season section: select from the drop-down list the Promotion to associate to the season.
Click on the Save button.
The promotion will appear at the top, you can have one or more promotions associated to a season.

Apply a Promotion to a Reservation


Start a reservation according to the manual in the Room Reservation section, in the reservation window, a rate search is performed to verify the rate change when the promotion code is applied:



Then enter the promotion code in the Promotion Code field under the Reservation Date and click the Search button again:



You can see that the promotion code generated 10% discount. You can enter the promotion code from the first search, it is shown this way in the manual in order to check that the Promotion is generating the discount.
