Derivative Seasons

The Seasons with Derived Rates and Restrictions are rates that can be defined starting from a Master Season from which new rates will be derived either by Amounts or Percentages and optional restrictions. In this way, the management of rates and restrictions is done from the Master Season and all the others will be adjusted according to the indicated parameters. To do this, it is necessary to know the following manuals:
  1. Register Agencies and Companies with Agreements
  2. Define Seasons and Rates by Agency

Create Master Seasons






A Master Season can be any of the existing seasons, it is usually called Base Season or Rack Season. To create a Master Season just follow the procedure to create a Season and this will be used as the basis for the Derived Seasons.
A Season becomes "Master" or "Mother" at the moment it is assigned to another Season (which would become the Daughter or Derivative Season).

General Operation of Seasons with Master and Derivative Rates and Restrictions


The Derived Seasons are seasons (daughters) that take the rates of a Master Season (mother), such value in the daughter can only be modified (increase or decrease) by a fixed Amount or Percentage. This Factor will affect all the rates (monthly or daily) of the Master Season for each rate type.
For example, if for the Single Rate Type, the Standard Room monthly price in the Master Season is 100 USD and for Fridays it is 120 USD and in the Derived Season a Factor of -20 USD was configured, the rates for the Derived Season will be 80 USD and 100 USD respectively.
A Derived Season is created like any other Season, with the difference that the Master Rate and the Factor that will modify the value of the monthly or daily rate, must be indicated.
When the Add button is clicked, the Derived Season will take the values of the Master Season and fill them automatically and will be affected by the Factor indicated (Amount or Percentage).
By default, only the rates are derived, not the constraints (CLOSE, MAX/MIN STAY) see Deriving Constraints below.

Create Seasons with Master and Derived Rates and Restrictions


Go to: Front Office → Sales → Define Seasons and Rates by Agency.




Field
Description
Season Valid FROM (*)
You must indicate the start date of the season (dd/mm/yyyy).
The creation of dates in the seasons is by Night, therefore, in this item you must enter the starting night of the season.
Season Valid TO (*)
Enter the end date of the season (dd/mm/yyyy).
The creation of dates in the seasons is by Night, therefore, in this item you must enter the night of the end of the season.
Derivative Rates
This field is a Season Start Date Filter, it accepts dates in YYYYY or YYYYYMM or YYYYMMDD format, and will filter only the seasons that match or are greater than the value indicated in the filter.
For example, 2020 will filter for all seasons from 2020 onwards, 202009 all seasons from September 2020 onwards and 20201015 all seasons from October 15, 2020 onwards.
The daily rates will also come from the Master rate where they can only be edited and will also be affected by the Amount and Percentage parameters.
In the daily rate fields, only the restrictions can be modified and saved.
This search will only show the rates that are of the same Currency Type, if any rate is not shown verify that the Agency or Company is parameterized for the Currency Type you are going to use.
Factor:
  1. Empty: if no Factor field (Amount or Percentage) is used, the derived fare will be the same as the master fare.
  2. Amount: In this field you must indicate the amount to be discounted or added to the master fare.
  3. Percentage: In this field you must indicate the percentage that will be subtracted or added from the master fare.
  4. Add or Subtract (Amount or Percentage): in these fields you must indicate with a plus sign (+) if you want to add an amount or percentage; you can also use a minus sign (-) to subtract an amount or percentage from the master fare.
If no sign is used, Novohit will consider it positive (Sign plus +).
Do not use both fields simultaneously, if you do Novohit will only consider the Amount field as valid and will ignore the Percentage field.
Title
Enter the name of the season.
Description
Brief description to help understand the use of the season.
Reservation From
Indicates the starting date on which the season can be booked. It is used to restrict the book ability of the rates included in this season to a certain period. It must be greater than or equal to the start date of the season.
Reservation To
Indicates the end date on which the season can be booked. It must be less than or equal to the end date of the season validity.
# Cut Off Days
This is a rate restriction. It is used to indicate the number of days in advance to book this fare, e.g. a value of 5 indicates that this fare can be booked 5 days in advance or more, but not less than 5 days.
Applicable Period 
One of the following three options must be selected from the drop-down list:
  1. All Week: indicates that the rate created will apply from Monday to Sunday.
  2. Weekend: indicates that the rate will apply only on weekends. The weekend will depend on the Novohit parameterization, if in doubt, please contact the Support area via Ticket.
  3. Weekdays: indicates that the rate will apply on weekdays, avoiding weekends.
Priority
To select the season desired to appear by default among all the possible candidates for a period to be booked.
This priority field will only work when all other conditions/restrictions of the candidate seasons are equal.
Button Add and Save
This button will save the changes made.
In case it is a master season, the corresponding changes will be recorded for the daughter seasons.

Button Ignore
This button has two functions:
  1. You can ignore the changes made by deleting them and returning to the list of seasons.
  2. If you did not make any modifications in this form (no changes to save) it will allow you to return to the list of seasons.

Derive Monthly Rates


The room rates will be taken from the Master Rate and will be affected by the Factor indicated.
In the image below the rate of 115,000 is the result of the Master Rate minus 32,000 indicated in the Factor (Amount).
When a rate is derived it is not possible to modify the rate values as they are being calculated automatically.


Derive Daily Rates


The daily rates will also come from the Master rate, where they cannot be edited and will also be affected by the Amount and Percentage parameters.
In the daily rate fields, only the CLOSE and MID STAY restrictions can be modified and saved.




Derive Restrictions CLOSE, MIN STAY





Additionally, the Rsv_Derived_Restrictions_Copy parameter can be activated. If this parameter is activated, the Child Season will also copy the Restrictions (CLOSE, MINSTAY). In this case, any change on the Master Season will copy the Restrictions (MID STAY/CLOSE) of the Master (parent) Season on all Derived (Daughter) Seasons that derive from that Master (parent).
You can overwrite the constraints in the child seasons, but if you make a change in the parent, it will copy the constraints over to the child.

Derive Package Rates


It is possible to derive rates from Packages. However, and for practicality, the rates derived from packages will not apply the Amount Factor or % on the rate value, i.e. it will only copy the rates from the master to the derived.

To derive the rates from the Packages, choose the master season and in the section Rates x Seasons x PACKAGE for, choose the corresponding Rate Type, edit the rates that correspond to each package.



When finished press the Save Package Rates button. This will copy the package rates to all Derived Seasons.

Limitations of Derivative Seasons



The Derived Seasons have certain limitations to maintain overall consistency with the parent rate and the underlying logic of the Derived Seasons.
No changes can be made to derived seasonal rates.
Up to 2 levels of Derived Seasons can be created: you can derive a season by selecting another derived season as the master season. If you require more levels of derivation (deepening), place a Support ticket.
You can overwrite the restrictions in the child seasons, but if you make a change in the parent and have the Rsv_Derived_Restrictions_Copy parameter active, the parent will copy the restrictions over the child.
The rates derived from the packages will not apply the Amount Factor or % on the value of the rate, i.e., it will only copy the rates from the master to the derived one.

Sync with Siteminder


To synchronize Rates and Restrictions from Novohit to Siteminder Channel Manager (OTAs, GDS) see Sync between Novohit and SiteMinder Channel Manager.
If there are no values defined for the rates in any field at the Rates by Room Type level or at the Rates and Restrictions by Day level, Novohit will not send anything to Siteminder for this date range.
