Register Product Adjustments

When performing physical inventories of stock and comparing them with the information in the system's Kardex, shortages and surpluses of products may be found. Also, you may find products that have lost their economic use value because they are obsolete or deteriorated.
To reconcile the different (shortages and surpluses) and show the products actually available in the warehouse, Product Adjustments are made.
This application allows you to enter, modify, delete, print, authorize and update adjustments to the quantities of inventoried products.
To do this, go to Administration (Back Office) → Inventory Management → Register Inventory Adjustments.
The initial screen displays the following sections:
Register Inventory Adjustment: you enter the adjustments.
Adjustments to Inventory: the adjustments already entered are displayed, allowing you to view them according to date, type and status filters. In addition, massive actions can be performed by executing the Print, Authorize and Update buttons to the adjustments.

Adjustment Status


New: Only the header of the adjustment is captured, no details are recorded.
Register: The setup is at register level, it can be printed, modified or deleted.
Authorized: It is a previous step to update the adjustment. It allows the modification of the information. 
Updated: The adjustment information cannot be modified because the product has been affected.

Register Adjustments


To register an adjustment, you must follow the steps below:
In the Register Inventory Adjustment section, enter the appropriate information from the following fields:

# Adjustment Doc. *
Enter the document number that covers the adjustment. This is an alphanumeric field with 20 digits.
Adjustment Date
Day of the adjustment in dd/mm/yyyy format or click on the calendar.
Adjustment Type
Select the type of adjustment you wish to make.
Comment
Capture information regarding the adjustment.
Press the Add button.

Register the detail of the adjustment in the section Register Inventory Adjustment Detail No. XXX by entering the corresponding information from the following fields:

Select the type of inventory to which the product to which you want to make the adjustment belongs
Product *
Enter the name of the product to which you want to make the adjustment.
Adjustment Type
Select the appropriate type of adjustment.
Quantity
Enter the amount to make the adjustment.
Price
Enter the cost of the selected product.
Accounting Account
Indicate the accounting account to which this adjustment will affect.
Press the Add button.
In the Inventory Adjustment Detail No. XXX section, the products with the adjustments already entered are displayed.

Modify Adjustments


You can modify the header and details of the adjustment when you have Capture or Authorized Status, you must perform the following steps:
Header
In the Adjustment to the Inventory section, click on the Edit icon of the adjustment to be modified in the Sel column.
Modify the appropriate field in the Register Inventory Adjustment section.
Press the Save button.
Details
In the Inventory Adjustment Detail No. XXX section, click on the Edit icon of the product to be modified in the Sel column.
Modify the appropriate field in the Register Inventory Adjustment Detail No. XXX section.
Press the Save button.

Delete Adjustments


You can delete the adjustment only if it has Register or Authorized Status by following the steps below:
In the Register Inventory Adjustment section, click on the Edit icon of the adjustment you want to delete in the Sel column.
Press the Delete button.
Confirm deleting the adjustment by pressing the Ok button, or on the Cancel button to not perform the deletion of the adjustment.


Print Adjustments


You can print the adjustments as follows:
When you have the Register Status:
In the Adjustment to the Inventory section, click on the Edit icon of the adjustment you want to print in the Sel column.
Press the Print button.
Press the Ignore button to return to the initial screen of the application.

From the Adjustment to the Inventory section:
Press the Print button in the Adjustment to the Inventory section.
The Inventory Adjustment Report window will be displayed. In the Define parameters values for report section, select the Type of Adjustment you want to print.
Press the Show button.
In the Inventory Adjustment Report window, press the Return button, this will return you to the initial Register Inventory Adjustments screen.

Authorize Adjustments


After the adjustment has been reviewed, the adjustment can be modified by following the steps indicated. It is important to mention that the authorization process must be completed before the update process can be performed.
The authorization can be done individually (a single adjustment) or by groups (several or all adjustments at once).
To authorize the settings, follow the steps below:
Press the Authorize button in the Adjustment to the Inventory section.
The Inventory Adjustment Report window will be displayed. In the Adjustment to the Inventories section, select the adjustments to be authorized by clicking on the check box in the Sel. column or click on the "Select All" check box.
Confirm the approval of the adjustments by pressing the Authorize button.
In the Inventory Adjustments Report window, press the Return button, this will take you back to the initial Adjustment to the Inventory screen.
In the Inventory Adjustment Report window, displays the Search of Documents section where you can search for the adjustments to authorize.
To perform the search, you can fill in one, several or all of the following fields:

Adjustment Type
Select the type of inbox adjustment.
Date
Enter the day/month/year of the document. You may also click on the calendar to select the date.
# Document
Enter the number of the registered adjustment.
Press the Search button.
In the Adjustment to the Inventories section, the adjustments will be displayed or the message "No Records" will be displayed.
In the Inventory Adjustments Report window, press the Return button to return to the initial Adjustment to the Inventory screen.


Update Adjustments



To perform this action, it is necessary that the adjustments have the status of Authorized to proceed with the update. Once the adjustment has been updated, it cannot be modified. When updating the adjustment, the Kardex is affected.
The update can be done individually (a single adjustment) or by groups (several or all adjustments at once).
To update the adjustment, perform the following steps:
Press the Update button in the Adjustment to the Inventory section.
The Inventory Adjustment Report window will be displayed. In the Adjustment to the Inventories section, select the adjustments you want to update by clicking on the check box in the Sel column or click on the "Select All" check box.
Confirm the update of the adjustments by clicking on the Update button.
In the Inventory Adjustments Report window, click on the Return button, this will take you back to the initial Adjustments to the Inventory screen.
In the Inventory Adjustment Report window, displays the Search of Documents window, where you can search for the adjustments to be updated.
To perform the search, you can fill in one, several or all of the fields shown below:
