RevMax – Smart Avail – Automized Allotment HotelRSV
Introduction
With hotelRSV we have redefined the concept of Allotment: availability is now dynamic and reactive and that is why it is called Smart Avail!
Mandatory: It is essential to define the basic configuration of Smart Avail in order to start distributing your rooms with hotelRSV. If Smart Avail is not defined, there will be no rooms available even if you have defined seasons and rates.With this feature you can limit the maximum number of rooms that can be purchased simultaneously by an agency or a person on your website, mobile app, Facebook, TripAdvisor.
You will be able to define the number of rooms you want to distribute with hotelRSV on your different channels (Web, Mobile, TripAdvisor, Facebook), but you will also be able to:
Smart Avail Basic: Determine reorder points to adjust or increase room availability when out of stock online.
RevMax: Set price adjustments (in percentage) according to the available quantity (based on inventory). The rate will increase or decrease from the defined % each time the reorder point is reached (just as airlines adjust the price of a ticket according to their inventory) or to zero.
Advanced Smart Avail and sync with Novohit: Compares Novohit and hotelRSV availabilities and takes the lower of the two, this to avoid overflow or indiscriminate (uncontrolled) sales.
Specific allotment per day: Smart Avail, allows to delimit the amount of rooms that can be sold for an agency or company, and the percentage increase will be applied regardless of whether the rate is charged in local or foreign currency.
Remember: in hotelRSV, each agency is assigned only one type of currency. If the agency works with more than one currency type, then different records must be created for that agency. For example: Rates in USD for one agency record, and Rates in CLP for another agency record.
Smart Avail Basic Configuration
To access this menu option: Sales → Allotment - RexMax - SmartAvail
To configure Smart Avail (define dynamic and intelligent allotment) do the following:
Select with the Pencil the agency (or currency) you want to configure.
Select the dates for which the configuration will be active Date From and Date To, you can use the calendars to facilitate the selection.
Select the number of rooms you want to sell for that agency in Base Availability.
Select the number of rooms you want to sell for that agency in Base Availability.
In Base Availability will appear only the number of rooms that you have registered in your inventory for that particular type.
You are done! You can start selling on hotelRSV.
RevMax Configuration
Just as airlines adjust ticket prices based on the availability of a flight; you can program price adjustments based on the availability of your inventory.
In this way, you set a simple formula and the system will adjust the price according to supply and demand, making the most of your inventory.
In the column Active Availability IBE Increment select the minimum number of rooms (trigger value or reorder point) of rooms for hotelRSV to make adjustments. Once you have reached this minimum, hotelRSV will activate the formulas in the following columns.
In this way, you set a simple formula and the system will adjust the price according to supply and demand, making the most of your inventory.
In the column Active Availability IBE Increment select the minimum number of rooms (trigger value or reorder point) of rooms for hotelRSV to make adjustments. Once you have reached this minimum, hotelRSV will activate the formulas in the following columns.
Rate Adjustment for Rooms Still in Inventory (Below Reorder Point)
Once the minimum point is reached (the amount indicated in Active Availability IBE Increment), all remaining rooms can be increased, decreased or remain at the same defined rate.
-To increase, you must indicate a positive number in the %Increment Over Base Rate column. The system will increase the base rate percentage for those rooms that remain (between 0 and Active Availability IBE Increment).
-To decrease, you must indicate a negative number with a - sign in the %Increment Over Base Rate column.
Active Availability IBE Increment also known as Trigger Value or Reorder Point.Increase the Allotment of X Rooms (Dynamic Availability)
If desired, hotelRSV will increase the number of rooms once it has reached the minimum point (that indicated by Extra Availability for IBE).
In this case, hotelRSV will increase by X rooms according to the number indicated in Extra Availability for IBE.
As a default behavior, hotelRSV will increase X rooms by the number indicated in Extra Availability for IBE when the availability in hotelRSV is equal to 0 (zero).
Usage Alternative for Minimum Availability hotelRSV also has the option to increase rooms when it reaches the value defined in Active Availability Increment IBE (the minimum or trigger value). This will allow hotelRSV to increase availability before reaching 0 (zero). If you want this to be the default behavior, place a ticket at help.novohit.com and our staff will gladly activate this option.
Sync with Novohit: The system will perform a real time availability query in Novohit for the associated agency (currency rate) and compare with hotelRSV, taking the lowest Novohit and hotelRSV.
Rate Adjustment for New Rooms (Rate Adjustment for Dynamically Available Rooms)
In the last column %Increment Over Rate with Extra Availability you can indicate the percentage increase or decreaset that will be applied to the rate only for the new rooms that have been recharged in the previous step, i.e. in Extra Availability for IBE.
The percentages in the increment columns are numbers from -100 to 100 with up to two decimal places.
Rate Adjustment for New Dynamically Available Rooms (Those that the System Automatically Increases)
The room rate added in this step will not increase/decrease from the percentage indicated in the %Increment Over Base Rate column but rather will increase/decrease if a value other than 0 is defined in the next column (%Increment Over Rate with Extra Availability).
Allotments per Day
This new feature allows you to granularly adjust the allotment assigned for a particular day. In the Allotments per Day section you can change the rooms you wish to sell for that day. Blank fields mean that the system will take the base allotment configured in the previous section (Assign Amount by Room Type).
Only use Allotments per Day to change rates for special days. DO NOT use the table to set up general or base allotment. For this follow the instructions in Smart Avail Basic Setup under Assign Amount by Room Type.
To modify the allotment of a day:
Enter the menu: Sales → Allotment - RevMax - Smart Avail
In the Allotments per Day section locate the particular day(s) you wish to modify and insert the number (between 0 and the maximum number of rooms for sale).
Click on Save Allotments per Day.

That for the rate in USD dollars between April 1 and December 31, 2016 the base allotment is:
a.- 5 basic rooms for the STANDARD SUITES and increases from 2 rooms each time there are only 2 available.
b.- 5 base rooms for the JUNIOR SUITES and increases by 3 rooms each time there are only 3 available.
But for April 6, 7, 8 and 9, the STANDARD room will ignore the base configurations and will instead have in allotment:
a.- 1 room for 6/4
b.- 2 rooms for 7/4
c.- 3 rooms for 8/4
d.- 4 rooms for 9/4
