Seasons in Novohit are the way in which Rates and their Restrictions are configured for each Channel or Agency. They allow to create the
simplest to the most complex Rates with a high number of (rate mixing). Also, they allow to derive, so the Novohit Seasons module allows
the hotel sales department to create all the sales planning for all channels: direct, online, offline and corporate.

Define or Create Seasons
After registering the agency or company, the second step is to define the seasons (Rate Plans) of each. In this section you define the seasons and their associated rates according to the registered agencies and companies. Every time you want to charge a rate to an agency or company you must create the season and then add their rates by room type.
To define seasons, you must go to: Front Office → Sales → Define Seasons and Rates by Agency.
The screen will display the following sections:
- Search Agency: allows you to select the agency or company to work with.
- DEFINE SEASON for: is the form to create or modify seasons.
- DEFINED SEASONS for: shows the seasons already created that belong to the agency or company selected in the first section.
- Send Rates and Restrictions to Siteminder: allows you to massively send Rates and Restrictions to Siteminder. This option is only active if this service is contracted.
- Send Rates and Restrictions to Hotelrsv: allows to send massively the Rates and Restrictions to HotelRSV. This option is only active if this service is contracted.
To create a season, the following steps must be performed:
Select the agency or company: to do this you can type the first letters of the Agency or Company name in the Search Agency section, Novohit will start filtering the information and the matching names will appear, you must click on the agency or company you are looking for, that you want to assign seasons, and click on the Search button.
If the agency or company has seasons, they will be shown in the section DEFINED SEASONS for, otherwise they will be shown blank with the indication "No Records". Below is the Insert Icon, click on it to start a new record.
Each time you want to enter a new season you must click on the Insert icon, this way you will clean the form avoiding accidental modifications in another record.
When you click on the Insert icon you will notice that the DEFINE SEASON for... section will be cleared and ready to create the new season:

| Indicates a brief description that helps to understand the use of the season. This description will appear to the user (not the guest) at the time of the Reservation.
This field can be used as a guideline or Script so that the person capturing the reservation can promote Alternative Seasons (marketing strategy and technique known as upselling). |
Reservation From/To
| Is used when you want to restrict the dates on which you can capture reservations utilized in that season and should not be used to assign the Season's Effective Date. These fields should be used ex. if a future promotion is only valid if you book in advance between the From Date and the To Date. |
# Cut Off Date
| This is a rate restriction. It is used to indicate the number of days in advance to book this rate, e.g. a value of 5 indicates that this rate can be booked 5 days in advance or more, but not less than 5 days.

Applicable Period
| One of the following options must be chosen from the drop-down list:
- All Week: indicates that the rate created will apply from Monday to Sunday.
- Weekend: indicates that the rate will apply only on weekends.
- Weekdays: indicates that the rate will apply on weekdays, avoiding weekends.
The weekend will depend on the parameterization of Novohit, if you have any doubt, please contact the Support area via Ticket at help.novohit.com. |
Priority | To select the season desired to appear by default among all the possible candidates for a period to be booked.
This priority field will only work when all other conditions/restrictions of the candidate seasons are equal. |
Once you have completed the season fields you must click on the Save button and the season will appear in the DEFINED SEASONS for... section.
So far you have defined the season with its basic restrictions, the next step is to load the rates and restrictions for that season for each room type.
Modify the General Values of a Season in Define Season
If you need to edit or modify the general characteristics (Name) just follow these steps:
Select the agency or company from the Search Agency section.
The seasons will be displayed in the DEFINED SEASON for... section, select the season you wish to edit by pressing the Pencil icon.
The general information and general restrictions of the season will be displayed in the DEFINE SEASON for... section. You will be able to modify any data in this form, when finished click on the Save button.
Remember: when you press Save, changes will be executed for that season and for Derived Seasons (if applicable), as well as submissions to Siteminder or HotelRSV (if applicable). This may take some time depending on the number of days, room types, the number of seasons derived and the bandwidth available.

Modify Rates and Restrictions of a Season Already Defined
Once the season has been created (see previous step), the next step is to load the rates for that season, for each Room Type and for each Rate Type.
Select the created season by clicking on the Edit icon in the DEFINED SEASON for... section. The season will open in the DEFINE SEASON
for... section and the sections where the rates will be loaded will be displayed:
Promotions Defined in the Season section where the Promotions (Codes or Coupons) assigned to this season will appear. Promotions can be defined in Define Promotions.
Define Rates by Room Type and/or by Person
In the Rates by Room Type for... section you can edit the rates for the entire season for the agency or channel. The values entered in these fields will apply for all days unless values are entered in the section. The rate entered in these fields will apply continuously throughout the season.
If the hotel configuration allows it, rates by person or by room can be uploaded. If the registered Agency has configured the Rates by person or both (by Room and by Person) fields will be displayed for each one where you will have to enter the rates. Place a ticket if you require assistance for the per person rates, as this can be done in two ways: by Rate Type (Single, Double, Triple) or by Adult/Child Rate.

Rates and Restrictions by Day and by Room Type
The Rates and Restrictions by Day and by Room Type section allows you to edit rates and restrictions for specific days within the season. The values entered in this section will take precedence over the values entered in Rates by Room Type for.
If any field in Rates and Restrictions by Day and by Room Type, is empty, the rate values defined in the previous section or Grid, i.e. Rates by Room Type for, will apply.

This is a way to control Revenue Management actions by increasing or decreasing the rate on specifically identified dates.
To save the rates for the entire season, click on Save Rates and Restrictions by Day in the Rates and Restrictions by Day and by Room Type for... section.

Conditions for Periods (Bulk Update - Massive Modification of Rates and Restrictions)
In this section you will be able to make massive modifications per day in the season being edited. The changes will be reflected in Apply Conditions By Periods. Registered rates and restrictions will take precedence over Seasons.
By default, all boxes will be empty and unchecked, indicating that the season's Total Rates will apply and no restrictions apply.
Operation of "Apply Conditions by Periods":
From: Select the start date on which you will make the mass changes. Must be a date that is within the range of the season. By default the start date of the season will be selected.
To: Select the end date on which you will make the mass modifications. Must be a date that is within the range of the season. By default the start date of the season will be selected.
Rate Type: Select the Rate Type in which you will make the mass modifications.
For each Room Type:
- Apply: check the box that corresponds to the data you wish to modify massively. Example: if you need to add or modify an amount for Room Rate, you must enable the Apply checkbox in the same line of Room Rate.
- Conditions to be Applied:
- Room Rate: Use this box to massively modify the rate. The Apply checkbox must be checked for the changes to take effect.
- You can enter a numerical amount to indicate which rate will be applied. This rate will be the one that will be applied instead of the total rate of the season.
- Or, you can leave blank to remove the daily rates, and therefore only the season's Global rates will apply.
The system will not allow you to modify rates for Derived Seasons.
- MinStay (Minimum Stay): Indicate the minimum number of nights for the stay. Empty = 1 = no restriction.You can leave blank to remove restrictions. The Apply checkbox must be checked for the changes to take effect.
- LOS (Length Of Stay): Indicate the exact number of nights for the stay. Empty = no restriction. You can leave blank to remove restrictions. The Apply checkbox must be checked for the changes to take effect.
- CLOSE: Indicate whether the night will be closed. Checkbox active = Night closed. Checkbox deactivated = Night open.The Apply checkbox must be active for the changes to take effect.
- CTA (Close to Arrival): Indicate if the night will be closed for Arrival. Checkbox active = Night closed for Arrival. Checkbox deactivated = Night open for Arrival. The Apply checkbox must be checked for the changes to take effect.
- CTD (Close to Departure): Indicate if the night will be closed for Departure. Checkbox active = Night closed for Departure. Checkbox deactivated = Night open for Departure. The Apply checkbox must be active for the changes to take effect.
- All Week | Sun Mon Mon Tue Tue Wed Wed Thu Fri Sat: Check the boxes for the days of the week on which the changes will apply. If any day is unchecked, no changes will apply for that day of the week in the selected From/To range or period.
If you want to add a fee or restriction: enter the amount or check the box; if you want to remove a fee or remove a restriction and leave the default value at the total level of the season, delete the content of the box. In both cases, you must leave the Applies checkbox active on the line in question for the changes to take effect.
Attention:
LOS = Length of Stay, refers to exact number of nights of stay. LOS = 3 is exactly 3 nights, no more, no less.
MinStay = Minimum Stay, refers to a minimum number of nights of stay.
MinStay = 3 means 3 or more nights.
CTA = Close to Arrival, means that the stay cannot start on that day. The night is not closed and can be booked, as long as the stay does not start (check-in) on that day.
CTD = Close to Departure, meaning that the stay cannot end on that day. The night is not closed and can be booked, as long as the stay does not end (check-out) on that day.
If you want to add a minimum (or exact) number of nights of stay: enter the number of nights; if you want to remove the LOS restriction and leave the default value at the global level of the season: remove the content of the box.
Close or Closed Night
If you want to close the night for this type of room: activate or check the Close checkbox; if you want to remove the Close restriction and leave the default value at the global level of the season: uncheck the checkbox.
Select the day of the week or All Week.
Press the Apply Conditions by Period button.
Remember: by pressing Save Rates and Restrictions by Period, changes will be executed for this season and for Derived Seasons (if applicable), as well as submissions to Siteminder or HotelRSV (if applicable).

Examples of Apply Conditions for Periods
To Close from Sunday to Thursday select the row Close, both columns and continue with the other steps.
To Open Friday and Saturday, select Close the first column and leave the second column unselected. Then proceed with the other steps.
Rates by Seasons by Package
Rates by Seasons by Package for...., section Only for applicable cases, rates for Packages will be entered in this section.
If your hotel does not have packages or composite tour programs, they should be left blank.
Even if the Agencies handle rates Per Person or BOTH (Hybrid), package rates will always be handled Per Package, not Per Person. This means that if the Hotel has rates for Adults and Children for the same Package, it must create the same package for Adults and Children and assign different rates to each one.
Important Notes
Bulk Update (per period conditions) apply for the season in question, but if the season is a master season, they will apply to all child or derivative seasons. To see the changes, check the Rates and Restrictions by Day and by Room Type.
Remember, if in the daily rates grid the fields are blank, it means that the global conditions of the season apply.
Conditions for past dates will not apply (not necessary).

To remove a condition, simply choose the condition to be removed from the room type in question, leave the field empty and press the Apply Conditions by Period button. For example, if you want to remove the Rate condition for all Mondays of the DELUXE room, simply check the Room Rate of the Applicable column corresponding to DELUXE, leave the Room Rate field empty, then check only the Monday of that same row and press Save Rates and Restrictions by Period.
