In order to comply with the requirements that the tax authority of each country requires in storage and access of CFDi for at least 5 years* and DTE for 6 years**, Novohit® offers the EINV Cloud module for electronic, secure and encrypted storage of electronic tax documents (Invoices and Receipts according to the tax documents of each country).

Description of EINV Cloud Services

  1. Unlimited storage of all invoices and/or receipts generated by Novohit modules with electronic invoices and/or receipts. In XML formats and PDF graphic representations, for the mandatory time provided by the law of each country.
  2. Encryption and security scheme of invoices and / or ballots, your invoices and / or ballots will be stored and encrypted out of reach of unauthorized third parties.
  3. Electronic Accounting Integration (only for Mexico).
  4. Generate download links and send them to your clients so that they in turn can download their electronic invoices and/or bills.
  5. Secure platform so that your authorized personnel can access in a controlled way to a Cloud extranet to visualize and download and share links of all invoices in an easy and intuitive way***.

Is there a user manual?

Now that the SAT (Mexico) offers to download invoices from its own portal, is this service useful for me?

Novohit's CFDi storage allows you to comply with the taxpayer's responsibility to securely store all your digital invoices in XML, PDF and generation log format. The legal requirement is regardless of whether the SAT makes the invoices available through its platform.
Remembering that the minimum required in Article 30 of the Federal Fiscal Code (CFF) is 5 years and by the Commercial Code according to Articles 38 and 46 must be kept for a minimum period of ten years. In some cases it can be longer, for example if tax losses have been reduced, in which case, the taxpayer is obliged, by legal disposition, to provide the documentation that proves the origin and provenance of the loss, which could extend the term to 15 years or more.

Is it necessary to have a Fixed IP?

Yes, because for security reasons, the synchronization between the ballots of the local server and the ballots of the cloud platform einv.novohit.com require a Fixed WAN IP to avoid identity theft. If you are unable to implement a fixed IP, please contact our support staff by submitting a ticket.

Can invoices be mailed?

Yes, Novohit sends e-mails to the recipient of the fiscal document from the different invoicing points: Cash Desk, POS and Accounts Receivable.

Does it affect Novohit's performance in terms of time to search and re-invoice Folios in Accounts Receivable, Front Office accounts or Point of Sale?

No, the backup is transparent to these operations. That is, it does not affect performance.

How does it work and how often do you perform the backup of CFDIs, DTEs or Electronic Receipts?

A backup of the CFDi, DTE or Boletas files is automatically performed every 24 hours in our secure Cloud server during the night when there is little activity in your company.
No electronic documents will be stored on your local server, so in case you require a copy, for example, due to an audit, you can request the date range via ticket and our team will provide you with a file with all the invoices of this date range, this may incur additional cost if you do not have the EINV Cloud service.
You will have access to a secure Cloud platform for yourselves to consult and download invoices and share download links for your clients, in the case of Chile, this is mandatory by law.

Is there any solution for the storage to be local, for example with more hard drives on our server?

For your security and system stability reasons, NO storage will be done on local or external (peripheral) hard disks as they may affect the performance and/or stability of the system.
Additionally, hard disks have a capacity limit, in the Cloud case this is not the case.
Also, having an external hard drive exposes them to unwanted extractions of electronic invoices (e.g. someone taking the hard drive with all your invoices).

Will I be able to access my invoices from a File Explorer?

Yes, with the EINV Cloud platform you will be able to access, download and generate all your past invoices from a file explorer but in the cloud.

Is it integrated to the Electronic Accounting?

Yes, our Cloud platform is integrated with Electronic Invoices, Electronic Billing and Electronic Accounting.

In which countries can I use the Storage Module for Tax Documents, Electronic Ballots and Electronic Invoices?

In all countries where any of the following legal requirements exist

  2. Electronic Accounting (Mexico)
  3. Electronic Billing (Chile)
