Spaces Reports - Statistics

In this section you will find the reports of Spaces and Events,
Go to: Spaces → Spaces Reports - Statistics.
Each parameter added when taking a reservation will be reflected in each report.

Field
Description
Report

Event Quote
Depending on the search parameters you select, the report will be generated:
  1. Operation Type: you must select the type of operation to be consulted.
  2. Reservation #: event code
  3. Arrival Date From: You can indicate the arrival date of the event or leave it blank.
  4. Arrival Date To: You can indicate the arrival date of the event or leave it blank.
  5. Holder Name: Name of the event holder (can be left blank)
  6. Holder Last Name: Last Name of the event holder (can be left blank)
  7. Reserve Status: check for Event Reservation Status

This report will show in quotation format an event, it will show the concepts of each area with their values, but it will not provide a total sum.
Parameters found in the report:
  1. #Reservation: event reservation code
  2. Customer: Agency/Company/Associate name entered as client in the event
  3. Description: Description entered when creating the event.
  4. Status: Status of the event when it was created.
  5. Space: Room or area reserved by the user for the event.
  6. Equipment: equipment quoted for the event.
  7. Services: Services quoted for the event
  8. People: Number of people per space and service according to the event.
  9. Duration: Hours in which the rooms, areas, equipment, services will be used.
  10. Rate Type: name of the rate for each room, areas, equipment, services.
  11. Amount: Value per rooms, areas, equipment, services.

This is the report that is recommended to be sent to clients so that they can decide on the delivered options that will actually confirm their event.

Spaces Reservation Report

Depending on the search parameters you select, the report will be generated:
  1. Operation Type: you must select the type of operation you wish to consult.
  2. Customer: Customer you wish to consult reservations
  3. Reservation #: event code
  4. Date of Booking Entry From/To: date of booking entry
  5. Arrival Date From: You can indicate the arrival date of the event or leave it blank.
  6. Arrival Date To: You can indicate the arrival date of the event or leave it Blank.
  7. Departure Date From: You can indicate the end date of the event or leave it blank.
  8. Departure Date To: You can indicate the end date of the event or leave it blank.
  9. Holder Name: First name of the event holder (can be left blank)
  10. Holder Last Name: Last Name of the event holder (can be left blank)
  11. Sales Agent: Novohit user associated to the reservation as Sales Agent of the reservations.
  12. Reserve Status: check for Event Reservation Status. ACTIVE reservations are those that include the following statuses
    1. Estimate
    2. Reserved
    3. Confirmed
This report will show the confirmation format of an event reservation, unlike the previous report, once the spaces - equipment - services have been confirmed by the client, this report will break down the subtotals and final total of the event.
Parameters found in the report:

  1. #Reservation: event reservation code
  2. Customer: Agency/Company/Associate name entered as client in the event
  3. Description: Description entered when creating the event.
  4. Status: Status of the event when it was created.
  5. Event subtotal: will show the total value of the SpacesManagement module.
  6. Space: Room or area reserved by the user for the event.
  7. Equipment: equipment that has been quoted for the event
  8. Services: Services quoted for the event
  9. People: Number of people per space and service according to the event
  10. Duration: Timetable in which the rooms, areas, equipment, services will be used.
  11. Rate Type: name of the rate for each room, areas, equipment, services.
  12. Amount: Value per rooms, areas, equipment, services.
  13. Grand Total: will give the final total to be charged per event (in case of having rooms in the event, it will also add it to this total).
This is the report that is recommended to be sent to clients as event confirmation
Summary of Spaces Reserved

This report has the same parameters as the Reservations report, but also allows exporting to Excel without formatting.


  1. Report Format: Normal or export format
This report provides a complete list of all reservations, one reservation per line.
Service Orders
Depending on the search parameters you select, the report will be generated:
  1. Operation Type: you must select the type of operation to be consulted.
  2. Reservation #: event code.
  3. Arrival Date From: You can indicate the arrival date of the event or leave it Blank.
  4. Arrival Date To: You can indicate the date of arrival of the event or leave it blank.
A first report will appear as a summary of the event booking:
  1. #Reservation: event reservation code
  2. Client: Agency/Company/Associate name entered as client in the event
  3. Description: Description entered when creating the event.
  4. Status: Status of the event when it was created.
By placing the cursor over the reservation code, another report will be generated, this is the report we call "Service Order":
  1. #Reservation: event reservation code
  2. Customer: Agency/Company/Associate name entered as client in the event
  3. Description: Description entered when creating the event.
  4. Status: Status of the event when it was created.
  5. Space: Room or area reserved by the user for the event.
  6. Equipment: equipment quoted for the event.
  7. Services: Services quoted for the event
  8. People: Number of people per space and service according to the event.
  9. Duration: Hours in which the rooms, areas, equipment, services will be used.
  10. Rate Type: name of the rate for each room, areas, equipment, services.
Log of Modifications to Reservations
Depending on the search parameters you select, the report will be generated:
  1. Operation Type: you must select the type of operation to be consulted.
  2. Reservation #: event code
  3. Date From: You can indicate the arrival date of the event or leave it Blank.
  4. Date To: You can indicate the arrival date of the event or leave it blank.
A report will appear with all the event booking information:
  1. #Reservation: event reservation code
  2. Customer: Agency/Company/Associate name entered as client in the event
  3. Description: Description entered when creating the event.
  4. Status: Status of the event when it was created.
Placing the cursor over the Spaces, Equipment, Services, Product, Prepayments will open a new report with their information.
Total Spaces Availability
Depending on the search parameters you select, the report will be generated:
  1. Operation Type: you must select the type of operation you wish to consult.
  2. Meeting Room: space to request availability.
  3. Date From: date requesting availability of the space.
  4. Date To: date until you request the space availability.
  5. Availability Type: you can select including or not including budgets.
The report will be broken down into:
  1. Space: name of the space
  2. Date: requested date of availability of the space
  3. Time: will be broken down from 00:00 hrs. to 23:00 hrs. showing both occupied and available availability of the requested spaces.
Placing the cursor over the name of the space will generate a report with more details on its availability.
Space Availability Detail
Depending on the search parameters you select, the report will be generated:
  1. Operation Type: you must select the type of operation to be consulted.
  2. Spaces: spaces to request availability.
  3. Date From: date requesting space availability.
  4. Date To: date until you request the availability of the space.
The report will provide a detailed breakdown of availability:
  1. Space: name of the space
  2. Date: requested date of availability of the space
  3. Time: it will be broken down from 00:00 hrs. to 23:00 hrs. showing both occupied and available availability of the requested spaces.
Equipment Availability
Depending on the search parameters you select, the report will be generated:
  1. Operation Type: you must select the type of operation to be consulted.
  2. Equipment: equipment to request availability
  3. Date From: date requesting availability of the equipment.
  4. Date To: date until you request the availability of the equipment.
  5. Availability Type: you can select including or not including budgets.
The report will be broken down into:
  1. Team: name of the team
  2. Date: requested date of space availability
  3. Time: will be broken down from 00:00 hrs. to 23:00 hrs. showing both occupied and available availability of the requested spaces.
Placing the cursor over the name of the space will generate a report with more details on its availability.
Services Availability
Depending on the search parameters you select, the report will be generated:
  1. Operation Type: you must select the type of operation to be consulted.
  2. Service: Services to request availability
  3. Date From: date you request the availability of the service.
  4. Date To: date until you request the availability of the service.
  5. Availability Type: you can select including or not including budgets.
The report will provide a detailed breakdown of availability:
  1. Service: name of the space
  2. Date: requested date of availability of the space
  3. Time: it will be broken down from 00:00 hrs to 23:00 hrs showing both occupied and available availability of the requested spaces.
Placing the cursor over the name of the space will generate a report with more details about its availability.
Customer History

Depending on the search parameters you select, the report will be generated:
  1. Date From: date you request availability of the service.
  2. Date To: date until you request the availability of the service.
  3. Last Name: client's last name
  4. Presentation: Presentation of the report in summary or in detail

A report will be generated with the customer data:
  1. Guest: customer name
  2. Nationality: customer's nationality
  3. Area: area you booked
  4. Start: time you booked the space
  5. End: end time of event
  6. #Event: event reservation code
By placing the cursor over the magnifying glass that appears next to the guest data, a new report will be generated with details of your reservation. Clicking with the cursor on the acronym RSV will generate the Reservations report for your event.

All reports can be generated in PDF or Excel format, only in the PDF format will appear the options to run more reports within a report mentioned in each report in the previous paragraph.
