Define SMTP Server

Introduction

In recent years the email industry has placed increasingly strict restrictions on the use of SMTP, differentiating between Transactional and Corporate. Novohit strongly recommends that our customers implement their own Transactional SMTP server so that they can send emails from their official domain, maintaining their corporate image and ensuring that the emails reach their destination.
To prevent your customers from confusing your brand and contact method, Novohit does not send emails from @novohit.com addresses, that's why we provide this application to configure your own Transactional SMTP server.

Recommendations

Beginning February 1, 2024, Google and Yahoo inboxes will be implementing stricter requirements for what type of mail they accept. Please review and reverify your sender authentication to ensure it contains valid SPF and DKIM records as well as a DMARC policy such as v=DMARC1; p=none or stricter.




The best measure to prevent your invoices and transactional emails from being marked as SPAM and reaching their destination is to use an SMTP server for transactional emails. Additionally, check these recommendations.
It is highly recommended that your SMTP server be of Transactional type such as Zeptomail, Sendgrid, MailGun, Amazon SES, etc. What are Transactional Emails? They are mails that are sent by automatic system transactions, unlike Marketing Mails or Personal or Corporate Communication Mails.
Services such as Office 365 or GSuite/Google Workspace do not properly support transactional email and may fail at any time without prior notice affecting your transactions' processes.

Configurations


The configuration of your SMTP server is done in:
Go to: Configurations → Define SMTP Server

This field is automatically populated with the name of the hotel.
Server SMTP
Example: smtp.mailserver.com
PortOnly secure ports (465 or 587) are accepted, otherwise the mails will not reach their destination.
Authentication RequiredYes or No. It is recommended that authentication is required, otherwise the emails will not reach their destination.
Authorization TypeFor your security and that of your users, only SSL, TLS certificates are accepted. TLS or SSL is recommended otherwise the emails will not reach their destination.
PortConnection port, secure ports only.
User
User, usually in the form user@company.com
PasswordPassword to access the client's mail.
Verified
(read only - automatic activation)
When saving configurations, this field indicates whether the configurations are valid or not. 
This field is automatically turned on if the configuration with the SMTP server is valid when adding or saving a configuration.

Make sure that the Verified checkbox is automatically checked after Save. This field automatically indicates whether the settings are correct.  
If the field is not turned on, mailing will not work. In such a case, contact your mail service provider to request the correct settings.

Send Test Email



In this section you can verify that the connection is correctly configured.



You must register the email to which the test will be sent.
Each time you need to check the SMTP connection, make sure that the test email is correct and then press the Send Test Email button.
If the configuration is incorrect, the message Error: Email not sent, check the SMTP configuration will appear.



If the configuration is correct, the sent mail message will appear.



The SMTP Test Successful notification will be sent to the registered email.


If our Company Uses Google Mail for Business / GSuite / Google Workspace


Attention: It is not recommended to use Google Mail for Business / GSuite / Google Workspace as a transactional mail server as they have limitations according to the official Google Workspace documentation regarding SMTP. Google SMTP may fail at any time without prior notice affecting your transactions' processes These limitations are Google's and are not Novohit's responsibility. We suggest rather to configure a Transactional Mail service such as Sendgrid, ZeptoMail, etc. as this will guarantee the correct reception of emails sent from Novohit.
