Register Deposits to Reservations

This option allows you to register and view the deposits that affect the balance of a given reservation, the registration of deposits can be defined with various details.

To register deposits to reservation, select: Front Office → Reservations → Room Reservation
Select a reservation and then click on the Deposits button.


The following screen with four sections will be displayed:
  1. Reservation Code: used to search for the reservation. If you entered from the reservation, the code will be registered automatically.
  2. Add Reservation Deposit Details: you enter the deposit or refund data.
  3. Reservation Deposits: shows the sum of all deposits/refunds registered in the reservation.
  4. Deposits Details by Reservation: shows each of the deposit/refund transactions of the reservation.


In the Add Reservation Deposit Details section you must enter the following:
Field
Description
Deposit Description*
Mandatory field, you can define an explanation of the payment.
Charge / Refund*

  1. Charge: use this option to register a Deposit.
  2. Refund: use this option to return the Deposit, this is done by a reverse transaction and the same type of operation must be used (next line). You can also use this option to return a part of the Deposit (or make a correction in case a larger amount has been written).
Operation Type*
Indicate the form of payment that was used for the transaction, these options will depend on the hotel's configuration. If you are making a refund, be sure to use the same one that was used for the Deposit.
Receipt Number
Write the folio of the receipt to be given to the customer.
Transaction Description*
Write a brief description of the transaction being registered.
Currency
This field is automatically filled in by Novohit according to the currency parameterized in the Agency or Partner Company.
Amount*
Mandatory field, you must enter the amount of the deposit to be registered.
Confirm Reservation
If the reservation was not confirmed, you can do it from here at the moment of registering the deposit.
Buttons

  1. Exit: Will close the window and delete all the modified information that has not been saved.
  2. Clear: Clears the form to create a new deposit.
  3. Save: Saves the information registering you in the reservation.  
Info
You will be able to see that in the Reservation Deposits window, the deposit will appear there they and added if more deposits are made.

In the Deposits Details by Reservation window the different transactions or deposits will be shown, in this window you will be able to print each one by clicking on the Print button or download it in PDF to send it by e-mail.
