Sending Reservation Confirmation Emails

It is possible to configure Novohit so that it automatically sends a notification by electronic mail (e-mail) of room reservation to the guest. It is also possible to send the email manually.

Basic Requirements

Your organization must have a Corporate Transactional Email service which must be configured in Define SMTP Server. More information regarding transactional emails here

Email sending modes

The confirmation may not be sent, sent immediately or X days before the check-in date of the room (these parameters are configurable). The sending options for the Confirmation Emails are as follows:

Automatic sending at the moment of creating a reservation

The confirmation email can be sent automatically at the moment of capturing the reservation.

Automatic sending at the moment of canceling, annulling a reservation

The system can send an email notifying the cancellation of the reservation.

Manual sending

From the modification screen of  Room Reservation, the user can send the confirmation email by pressing the "Send Email Confirmation" button.

The email will be sent to the address entered by the user in the Send Confirmation Email field.

If the recipient field is left empty, the system will automatically send the email to the email address registered for the reservation’s main guest, provided that an email address has been recorded.

It is important to note that if an email address exists in the guest’s data but a different address is entered in the field next to the button, the confirmation email will be sent exclusively to the address specified in that field.

Language

The Email will be sent in the customer's language, or if this information is not set, in Novohit's language (language selector in the main menu).
